Background: SpayToday, NeuterNow! is a 501(c)(3) nonprofit organization located in Lakewood, CO that provides high-quality, accessible and affordable spay, neuter and limited basic veterinary care for cats, dogs and rabbits. SpayToday was founded in 2009 and has completed over 55,000 spay and neuter procedures. Clients include animal rescue organizations, animal shelters and the general public.
Position Summary: Title: Practice Manager Type: Full-Time; Exempt Compensation: Salary; Commensurate with experience
Position Overview: The Practice Manager of SpayToday, NeuterNow! (S2D) is a managerial position reporting to the Executive Director. The Practice Manager will be responsible for leading and directing the business management and customer service functions of the clinic. The practice manager will ensure that the clinic’s business management and customer service consistently operates smoothly and effectively to help S2D meet its mission.
•Prepares clinic budgets and projections for growth. •Updates business management systems and procedures including changes in the computer systems, accounting/reporting, and hospital programs and services, and communicates status and/or changes to staff. •Supports the implementation of the clinic’s shift to a paper-light or paperless model. •Oversees payment agreements, accounts receivable, hospital purchasing of supplies and equipment, and monitors the clinic’s expenditures. •Acts as the primary contact for clinic vendors. •Performs financial functions of the business including fee structuring and reviewing key performance indicators in coordination with the Operations Administrator and Executive Director •Researches and negotiates pricing structures for supplies and equipment. •Assists in the resolution of customer and/or staff conflicts. •Handles escalation of customer questions/disputes. •Prepares reports and attends SpayToday’s Board meetings as needed or requested by the Board or Executive Director.
Customer Service Supervision
•Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. •Works with the Executive Director and Medical Director in conducting interviews and making hiring decisions for the clinic’s customer service and veterinary teams. •Oversees staff to ensure that data entered into the ClinicHQ program is correct, current, and accurate. •Directs and delegates duties appropriately, makes recommendations to administration regarding salaries, raises, bonuses and/or promotions or terminations regarding supervised staff and facilitates disciplinary actions. •Develops, documents, maintains, initiates and monitors staff training, encourages staff development through on-the-job training and continuing education. •Plans for optimal staffing through scheduling to assure maximum productivity and service. •Monitors and approves all clinic staff’s time cards for accuracy prior to each payroll period.
•Takes ownership, exhibits leadership and commitment, and acts as a role model in all aspects of the practice manager role. •Works closely with the Medical Director to establish and promote excellent relations by communicating and collaborating in a personable, caring, and professional manner. Provides accurate information and friendly service to internal and external customers. •Participates actively as a member of the organizational Administrative Team. •Develops and provides recommendations on improvement of clinic functions and procedures, client services, and special programs. •Steps in with enthusiasm to fill customer service demands as they may arise. •Communicates all concerns and suggestions to the proper people. •Networks and fosters business relationships with other veterinarians, vendors and prospective donors as appropriate within Colorado.
•Minimum of five years of relevant experience in the field of veterinary medicine. •Able to be flexible with work schedule due to the needs of the clinic. Working over 40 hrs a week may be necessary. •Excellent verbal and written communication skills, especially to a diverse range of audiences and settings. •Must be able to handle multiple tasks and deal with an environment of changing priorities. •Can operate effectively and with emotional intelligence in fast-paced, high intensity, urgent care environments
•Knowledge of ClinicHQ software preferred. •Two to three years of producing metrics and financial budget management experience. •Two to three years of supervisory or managerial experience in a veterinary setting •Bilingual; fluent in Spanish
